Remote Project Success Specialist

General Description:
The Project Success Specialist is responsible for facilitating and coordinating project workflows, supporting the seamless execution of creative and production tasks, and fulfilling data preparation for projects across multiple client accounts. This role ensures efficient routing of art, manages and prepares project data, oversees print production, and maintains accurate project timelines to keep projects on track and successfully delivered.
Primary Responsibilities:
- Coordinates project timelines and priorities: Works closely with multiple account executives to manage priorities across clients, supporting project milestones and ensuring timely completion.
- Routes artwork: Manages the flow of creative assets, routing materials to and from creative, production, and account teams to keep projects moving efficiently.
- Facilitates and manages project data: Prepares and executes documentation and QC checks for all communications, ensuring accuracy and accessibility across teams.
- Oversees print production: Conducts quality checks on creative assets from origination through drop date to ensure accuracy and consistency.
- Supports team meetings and client communications: Prepares agendas, project updates, and status matrices, helping facilitate clear communication and alignment.
- Executes project workflows: Manages tasks within project software, tracks timelines, provides updates to internal documents and ensures projects meet established standards and deadlines.
- Assists with project problem-solving: Collaborates with team members to troubleshoot and address project issues, designing effective solutions to accelerate project success.
Position Requirements
Technical Competencies:
- Strong organizational skills with exceptional attention to detail, plus the ability to multi-task and negotiate priorities.
- Ability to work under pressure with limited direction, at peak performance.
- Proficiency in project management software and systems for efficient task tracking and coordination.
- Advanced skills in Microsoft Office and Google applications (Docs, Sheets, Slides).
- Ability to effectively manage multiple priorities and work with account executives to coordinate work across multiple clients.
- Knowledge of print production processes, including an understanding of live lasers and quality control standards.
- Command of grammar and language for professional proofreading.
- Familiarity with project management life cycle concepts and tools to coordinate project tasks.

Work Experience:
- Proven experience in project coordination within a marketing, advertising, or creative agency, managing the workflow of creative assets and production materials across multiple client accounts.
- Hands-on experience with print production processes, including live lasers, quality checks, and familiarity with routing artwork and approvals between departments.
- Demonstrated ability to prioritize tasks and manage time effectively when working with cross-functional teams, balancing multiple projects with a strong focus on accuracy and attention to detail.
Educational Requirements:
- Bachelor’s degree in Marketing, Communications, Project Management, Business, or a related field.
- Experience in advertising or marketing agency preferred.
